01 · The missed call

The call you did not answer went somewhere.

A patient with a broken crown calls at 6:40pm. Nobody picks up, there is no voicemail worth leaving, and by 6:44 they have called the practice two miles away that did pick up. That call cost you the treatment and every appointment after it.

It happens during the day too. One person on the desk, two patients checking out, and a phone ringing that nobody can reach. Most practices have no idea how many of these they have, because a call that never connects leaves no record anyone reads.

02 · What it does

It answers, it listens, and it writes it down.

It picks up on the first or second ring, in a normal voice, and says the name of your practice. It asks what the caller needs. If they are in pain it says so at the top of the message it leaves you.

It takes the name, the number, the reason for the call, and whether they are an existing patient. If you want it to book, it reads your open slots and puts the appointment in the calendar, then confirms by text.

Everything it hears becomes a transcript and a summary in your inbox, and the call recording is kept where your team can play it. Nothing depends on somebody remembering to check a voicemail box.

03 · The limits

What it will not try to do.

It does not diagnose. It does not tell a caller whether the pain is an abscess, whether a crown can be saved, or whether they should take anything. Clinical questions get a person, and it says so.

It does not argue about money. Insurance, balances, and treatment plan disputes are routed to your team with the caller details attached.

And it does not pretend to be a person. If a caller asks, it says it is an assistant for the practice and offers to have someone call back. That is a deliberate choice, and it is why callers do not hang up on it.

04 · Setup

How it gets turned on.

We write the script with you: your greeting, your hours, your services, what counts as an emergency at your practice, and who takes the callback. It is your wording, not a template with your name dropped into it.

Then we set the rules. Most practices start with after hours only, add the lunch hour once they trust it, and later route overflow when the desk is on another call. Some never go past after hours, which is fine.

Setup takes about a week. Calendar booking depends on your practice management software, and we tell you before we start whether yours supports it or whether the assistant will take the request and hand it to your team.

05 · Pricing

It is part of the $500, not an add-on.

The AI voice receptionist is included in the $500 a month marketing service. There is no separate licence, no per-minute charge from us, and no setup fee.

It is included because it protects the rest of the work. Paying for advertising that produces calls nobody answers is the most expensive thing a practice can do with a marketing budget.
